Hello, everyone, and welcome to today's session. I just want to give you a bit of a background briefly on Teckro or like an introduction and welcome and then we'll move on to the question. So as you're all aware, Teckro was founded at 2015 and a little less than 18 months later, in 2017, Teckro was added to the first number of a large, now large portfolio of studies within AstraZeneca, with now in excess of 100,000 user sessions to date. In 2020, Teckro was launched into the ADC collaboration studies with Daiichi Sankyo, for which DESTINY 9 is a part of.
I'd like to welcome Becky Man, who's the global study manager for DB09 and thank her for participating in today's session where she will explain how she used Teckro and what she sees are the main benefits of using the platform. For DB09 the elements of the Teckro platform that are available were Search as well as Survey and Engage for communications. So, hi Becky and thanks for joining. I'll get straight into the questions today.
So I suppose the first question is really, can you explain how you use Teckro to communicate with local study teams and sites? Hi, Rita. Thank you for the opportunity to share. We started to use Teckro to communicate with our local team mainly on study updates, provide them with weekly, bi-weekly updates, also share with them on some essential documents like monitoring plan, lab menu, IP protocol, et cetera and would say we have constant communication with them on recruitment updates.
We also have a feature called "ILD callback" where study team could enter a question and request a callback from a medical team on any ELD related issues. We also use this as a one-stop shop for study central documents like ILD management guideline, IP protocols, and again, their lab menu. We also added recently a quick link to vendors portal so they don't have to search, they could just go into Teckro. We have a page where we have other vendors links there, they could just copy and paste it out and search from there.
And also we added recently other recruitment tools like poster, referral letters and so forth for site to have a quick access to. Fantastic, that's great. And I suppose, how did this approach differ from what you were doing in the past, in previous studies or anything like that? Well, previously we probably communicate in the old age life, through emails and mainly email or sending dump documents.
But you know, recently we do have MS Teams and Box and so forth, but still various methods that we've been using. So we want to try to consolidate it in one location where they could have access to this essential document anywhere, any time at the convenience, through not just their computer but also through their phone. They could get the information directly from or you know, sometimes they're not at that desk. Fantastic Thanks so much, Becky.
And I suppose, from looking at the communications that you issued, you taken more of a campaign approach to your communication with Teckro. Can you explain a bit more about this? Or how did you identify the approach for issuing communications through Teckro? So we took the approach that what is more important to the site and how we use Teckro to actually improve our recruitment, drive the recruitment that we need to tackle, and make sure that our recruitment will be met on time.
The engagement at the beginning is low. I have to say it with a new system everybody has today to use, but we tackle it to say that what is in their best interest, what type of information that would draw their attentions to a Teckro and work very closely with the local team to understand their pain point. Like what is it that's preventing them to use Teckro you know, so that we could improve their overall user experience and work closely with the Teckro team to continually improve on the usage. So right now, overall, we have about 70% engagement from for the entire study and continue moving up as we engage more and more local teams and sites.
OK, fantastic. And from that and from seeing how you're using the platform, I suppose, what was the impact you found of using Teckro for your communication, so I suppose the real benefits of it? It is a very straightforward process, although it's another system, another way of working, but it is very straightforward, very easy to use. It provides all the trial and PDF for filing... the true benefit that I really see is for myself when I'm using it, it's trying to able to schedule the delivery of the message at a specific time.
For example, if I have to send something on a Monday, I literally when I have time to prepare it on Friday, I could get it done and I would select the time on Monday that I want this message to deliver. I could schedule as soon as I prepare the message and select the time that I want on Monday morning. The message will be sent out and the user will receive that message at their local time. So I don't need to wake up somebody in the middle of the night when I was a different time zone and so forth.
The other important thing is also that I could track that receipt through the push notification so I know how many people have already read the message, what their reaction is, and so forth. So that is the true function that I found that it is quite benefit. Yeah and that's the feedback that we get from a lot of study teams. They really enjoy all of that as well as adding the been able to download all of the communications and even added to the TMF.
The simplicity of that makes life so much easier for study teams. So, how did you go about getting people to change their habits and use Teckro as the main way of communication for the study? Because I know it's change from email, previously, it's a change from Teams or Box or anything like that... but just how you went about it or, how you, I suppose, launched the idea. Right so as I said, you know, implementing any new process is always challenging.
Nobody wants to change, Change is a pain to some people. I think we just need to take small step by step and walk them through the process, you know, educate them and be patient. You know, everyone have different learning habits. It might be that we might have to train them several times for them to realize the benefit.
Nothing...
I think it's just more to, spend more time with the user so that they get used to it and start using it yourself. Yeah. Yeah, I think it's important. Yes, so yeah, to realize the benefit of it.
Yeah, perfect. And is there any other additional benefits you would see at the local level, maybe as opposed to the global level for sending the communications? It is. I think when Teckro started earlier as you mentioned in 2017 we'll probably have, English is probably the main language we have back then, and then it got evolved.
So, now we have more languages, so the local team is actually could communicate with their site for the different local languages. Of course right now we only have another additional 10 languages that is available right now not all languages, but if your location is one of those that we already have the 10 languages, it's a perfect way to communicate with your site. As I said, everything is in one location, especially with those important messages that you want to send to your site, it's one location, they always can retrieve back the message and you know that if they have reviewed it or not, and also the notifications on their cell phone will not go away until they actually read it.
So, it's always there as a reminder that there are messages for them to be reviewed. So I think those benefit will probably don't get it from email because as we know, the more email you receive, your email will get pushed down and down from your inbox. So sometimes it gets lost in the pile of emails that you have. Exactly!
Exactly! So I suppose lastly, what advice would you have for other study teams looking to improve their communication on Teckro or even just to start sending their first communications through Teckro? So as I said, you have to use it to realize the benefit. If you don't use it, you would not able to see how much you can get out of it.
I think the other thing is be patient because you might have to assess that. You may have to educate your user multiple times. So you could work with your Teckro project managers arranging all this training, it could be an individual training or it could be a good training as often as is needed. Provide your feedback after you try it, and if you see anything that could be improved, feed that back back to your project managers because it is a two ways working relationship.
They would also tell us when there's new update through the platform or new functionality where we could use that and then gauge or be benefit to the user they will share with us, vice versa, we can also share feedback with them so that they could improve their product as well. Fantastic, no, that's really good advice, Becky. Thanks so much. And Becky, I'd really like to thank you sincerely for participating in this session today.
I really hope that other study teams find this information useful. And a reminder, as Becky said, contact your Teckro representative if you need any guidance in rolling out Engage or if you have any ideas or other ways of communicating. So please feel free to share it. So, thanks very much!
No problem. Thank you.
